 Expedition Travel Coordinator

Location: Lincolnshire Wolds, UK (Hybrid, minimum 2/3 days in office)

Organization: Operation Wallacea

Contract Type: Full-time, Permanent. Hours: 9:00am – 5:30pm (1 hour unpaid lunch). Closing date: Friday, 24th April 2026.

Main Description:

Operation Wallacea is an organisation that runs biological and conservation research expeditions in some of the most remote and biodiverse locations on the planet. Our programmes bring together leading academics, university students and volunteers to conduct vital long-term and large-scale biodiversity research and conservation work. To date, data from our expeditions have contributed to over 700 scientific papers, helping to identify areas requiring protection, develop conservation strategies and train the next generation of field scientists. From tropical forests to coral reefs, our work supports some of the world's most threatened ecosystems while providing participants with hands-on research experience.

We are seeking an organised and proactive Expedition Travel Coordinator to coordinate complex international travel for the hundreds of students, researchers and volunteers who join our expeditions each year. You will work closely with participants, staff and parents to plan and manage travel arrangements to some of the world's most remote locations, ensuring journeys are efficient, cost-effective and safe. This is a varied role that blends travel logistics, stakeholder communication and expedition support.

Key Responsibilities:

  • Coordinating and managing international travel for expedition participants
  • Liaising with students, teachers, parents and staff regarding travel arrangements
  • Securing the best possible flight options and prices
  • Building relationships with airlines and travel providers
  • Managing complex internal and regional travel logistics
  • Understanding and monitoring travel advisories including FCDO guidance
  • Working with internal systems relating to bookings, evacuation plans and travel conditions
  • Assisting with diary management for senior staff where required
  • Site management in addition to supporting administration across some expedition countries
  • Chasing outstanding participant documentation (medical forms, insurance etc.)
  • Delivering presentations and communicating travel guidance to participants

Requirements:

Essential:

  • Excellent organisation and attention to detail
  • Strong communication skills (written, phone and presentations)
  • Confidence speaking to groups and delivering information
  • Ability to manage multiple projects simultaneously
  • Problem solving skills and the ability to adapt quickly
  • Comfortable working with booking systems and databases

Desirable:

  • Experience in travel coordination or travel industry roles
  • Experience working with international group travel
  • Interest in conservation, science or expedition travel
